Payment Policy

Last updated: 3 November 2026

This Payment Policy explains the payment methods accepted by Miarus, operated by NovaSupplies VOF (“we”, “us”, “our”), how and when you are charged, how we keep your payment details secure, and what happens with refunds, failed payments and disputes. It applies to all orders placed on miarus.com and forms part of our Terms of Service. Please read it together with our Returns and Refund Policy, Shipping Policy and Privacy Policy.

1. Accepted payment methods

We accept the following payment methods at checkout:

  1. American Express
  2. Apple Pay
  3. Google Pay
  4. Maestro
  5. Mastercard
  6. Shop Pay
  7. Visa

The payment methods available to you are shown at checkout and may depend on your device, browser, card issuer and delivery address. We may add or remove payment methods at any time. We do not accept cash, cheques, bank transfers, cryptocurrency or payment on delivery.

Credit and debit cards must be issued in your name, and you must be authorised to use the card or payment account you choose. A card issued outside the United Kingdom may be accepted, but your bank may apply its own fees or exchange rates.

2. Currency, prices and VAT

All prices on miarus.com are shown in pounds sterling (GBP) and include UK VAT where applicable. Delivery charges are displayed separately and added to your order total at checkout before you pay. The total shown on the final checkout page is the amount you will be charged. There are no hidden fees.

If your card or payment account is in a different currency, your bank or card provider will convert the amount at its own exchange rate and may charge a foreign transaction fee. These charges are set by your provider, are outside our control, and we cannot refund them.

3. When you are charged

Payment is taken in full when you place your order. Your payment provider will check and authorise the transaction at that point.

  • Authorisation: when you submit your order, an authorisation request is sent to your bank or card issuer. In some cases the amount is held (reserved) on your account before it is captured.
  • Capture: the payment is normally captured when your order is confirmed. If an item is out of stock or an order is cancelled before dispatch, we will release or refund the amount.
  • Order acceptance: your payment does not mean we have accepted your order. A binding contract is formed when we send you a dispatch confirmation, as explained in our Terms of Service.
  • Confirmation: you will receive an order confirmation email after a successful payment. If you do not receive one, check your spam folder and then contact us before placing the order again, to avoid duplicate charges.

4. Card payments (American Express, Maestro, Mastercard and Visa)

You can pay with American Express, Maestro, Mastercard and Visa credit or debit cards. To complete a card payment, you will need to enter the card number, expiry date, security code (CVV/CVC) and the name on the card.

  • American Express, Mastercard and Visa are accepted as credit and debit cards.
  • Maestro is accepted where your card issuer supports online use of Maestro. Please note that Maestro cards are being phased out in the UK, and some issuers no longer support online Maestro payments. If your Maestro payment is declined, please try another method.
  • Some cards may be subject to an acceptance limit, or may not be accepted for certain orders. We will show this at checkout where it applies.

We do not store your full card number or security code on our systems. Card details are entered on a secure payment page and handled by our payment provider.

5. Digital wallets (Apple Pay, Google Pay and Shop Pay)

  • Apple Pay: available on compatible Apple devices and browsers where you have a supported card set up in Apple Wallet. You authorise the payment using Face ID, Touch ID or your passcode. Apple does not share your actual card number with us.
  • Google Pay: available on compatible devices and browsers where you have a supported card saved to your Google account. You may need to verify the payment on your device. Google Pay uses a secure token in place of your actual card number.
  • Shop Pay: an accelerated checkout service provided by Shopify that lets you save your email, delivery and payment details for faster checkout. When you use Shop Pay, your information is processed by Shopify under its own terms and privacy policy. You can manage or delete your Shop Pay details through your Shop account.

When you pay with a digital wallet, the payment is still processed by your card issuer or bank, and the terms of that wallet provider apply to your use of it. We are not responsible for the availability or operation of third-party wallet services.

6. Payment security

We take the security of your payment information seriously.

  • Our checkout uses encrypted HTTPS (TLS/SSL) connections to protect data sent between your browser and our website.
  • Payments are processed by trusted, PCI DSS-compliant payment providers. We never see or store your full card number or security code.
  • We receive only limited information about your payment, such as the last four digits of the card, the card type, the payment status and the transaction ID, which we use to manage orders, refunds and customer service.
  • We use fraud-prevention tools to help protect you and us from unauthorised or fraudulent transactions.

Strong Customer Authentication (3-D Secure). To keep your payment secure and comply with UK regulations, your bank may ask you to confirm online card payments, for example through a one-time passcode, a banking app or biometric verification. This is a normal part of the payment process. If you do not complete the verification, your payment may be declined and your order will not be placed.

Please keep your payment details and any passcodes confidential. If you think your card or wallet has been used without your permission, contact your bank or card provider straight away and let us know at info@miarus.com.

7. Declined or failed payments

A payment may be declined for reasons such as insufficient funds, incorrect card details, an expired card, a mismatch between the billing address and the address held by your bank, a daily spending limit, a failed 3-D Secure check or a fraud-prevention block by your bank. If your payment is declined:

  • check that the details you entered are correct;
  • contact your bank or card provider to find out the reason;
  • try another card or a different payment method.

We do not receive the specific reason for a decline from your bank. If money has been taken from your account but you did not receive an order confirmation, please wait a short while, as pending authorisations usually drop off automatically, and contact us with your payment details if it does not.

8. Fraud prevention and order verification

To protect you and us, we may carry out checks on orders and payments, including verifying the cardholder’s identity, address and order details. We may contact you for more information and may delay processing or dispatch until the checks are complete. We may cancel an order and refund any payment if we cannot verify it, if we reasonably suspect fraud or unauthorised use of a payment method, or if the order appears to be for resale or contrary to our Terms of Service. We may share information with payment providers, banks and law enforcement for fraud-prevention purposes, as set out in our Privacy Policy.

9. Refunds

Refunds are always paid to the original payment method used for the order. We cannot refund to a different card, account or wallet.

  • Timing: we issue your refund within 14 days of the day we receive your returned goods or evidence that you have sent them, or within 14 days of cancelling an order before dispatch, as set out in our Returns and Refund Policy.
  • Bank processing time: once we have processed a refund, it may take several additional business days to show in your account, depending on your bank or card provider. Refunds to digital wallets appear on the underlying card.
  • Currency: refunds are made in the currency of your original payment. We are not responsible for any exchange-rate differences or fees applied by your bank.
  • Confirmation: we will email you when your refund has been sent. If it has not arrived after the time stated above, please check with your bank and then contact us with your order number.

10. Duplicate or incorrect charges

If you believe you have been charged twice or charged an incorrect amount, please contact us at info@miarus.com with your order number, the date of the transaction and a screenshot or bank statement extract showing the charge. We will investigate promptly and, if an error has been made, refund the difference to your original payment method.

11. Chargebacks and payment disputes

If you have a problem with an order, we ask that you contact us first so we can try to resolve it quickly, as this is often the fastest way to receive a refund or replacement. You are, of course, free to contact your bank or card provider at any time. If you raise a dispute or chargeback, we will cooperate fully and provide the information requested by your bank or payment provider. We may suspend related orders or accounts while a dispute is being investigated. Making a fraudulent or unjustified chargeback claim may lead us to cancel your account and refuse future orders.

12. Discount codes, gift cards and promotions

Discount codes and promotions are valid only for the period and conditions stated at the time. They cannot be exchanged for cash, applied after an order has been placed, or combined with other offers unless we say so. If you return goods bought with a discount, you will be refunded the amount you actually paid. We may cancel a code that has been misused or issued in error.

13. Pricing errors

We check our prices carefully, but errors can occur. If we discover that an item has been listed at an incorrect price, we will contact you before dispatch. You may choose to confirm your order at the correct price or cancel it for a full refund. We are not required to supply goods at an obviously incorrect price, even if we have already acknowledged your order.

14. Taxes and receipts

UK VAT is included in the prices shown where applicable, and the VAT amount is shown at checkout. A receipt or invoice confirming your payment is sent to the email address you provided with your order confirmation. If you need a copy of your invoice, email us at info@miarus.com.

15. Your personal data

We use your payment-related information only to process your order, prevent fraud, manage refunds and comply with the law. Please read our Privacy Policy for full details of how we use and protect your personal data and how to exercise your rights.

16. Your statutory rights

This policy does not affect your legal rights as a consumer under UK law, including the Consumer Rights Act 2015, the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 and, where your payment was made by credit card, any rights you may have under Section 75 of the Consumer Credit Act 1974. For free, independent advice about your rights, you can contact Citizens Advice on 0808 223 1133 or at citizensadvice.org.uk.

17. Complaints

If you are unhappy with any payment or refund matter, email info@miarus.com with the subject line “Complaint” and your order number. We aim to acknowledge complaints within 1 business day and resolve them within 14 days.

18. Changes to this policy

We may update this policy from time to time, for example if we add or remove a payment method. The version published on miarus.com when you place your order is the one that applies to that order. The date at the top of this page shows when it was last updated.
